How the Physis Photography Partnership Works
Most partners come to Physis with two questions: how does the money work, and what does Physis actually handle? The answers are simpler than you might expect.
The Commercial Model
Physis charges a net rate per person. You set your own retail price to your clients and keep the difference as your margin. There is no revenue sharing, no commission structure, and no negotiation on your markup — that is entirely your business.
Your own travel cost as the tour leader or organization representative is absorbed into the program. You travel free. This is standard across all Physis B2B programs and is built into the net rate from the beginning.
Net rates vary by program duration, group size, lodge category, and season. Andy will provide a clear net rate proposal after your first conversation, so you can make an informed decision before committing to anything.
What Physis Handles
Once the program is confirmed, Physis manages everything on the ground in Costa Rica. This includes all lodge reservations and rooming logistics, private transportation between all destinations, local naturalist guide coordination at each stop, field session planning around light, weather, and wildlife behavior, photography-specific permits and site access where required, dietary and accommodation preferences, contingency planning for weather or road conditions, and daily logistics from airport arrival to departure transfer.
You focus on your photographers. Physis focuses on everything else.
What You Handle
Your role is your photographers and your commercial relationship with them. You collect payment from your clients at your own price. You manage your group’s international flights and travel insurance. You communicate your group’s photography goals, dietary needs, and any special requirements to Andy before departure. And you bring your expertise — whether that is photography instruction, club leadership, or academic direction — to the program.
Physis does not manage your commercial relationship with your clients. That is yours.
The Process, Step by Step
Step 1 — First conversation with Andy. Thirty minutes by Zoom. You share your group, your goals, and your target dates. Andy asks the right questions and begins to understand what the program should look like.
Step 2 — Net rate proposal. Andy sends a clear proposal with the net rate per person, program structure, lodge selection, and key inclusions. No obligation at this stage.
Step 3 — Program refinement. You review the proposal with your own commercial needs in mind. Andy adjusts destinations, duration, or lodge choices based on your feedback. This phase is collaborative and typically takes one to two exchanges.
Step 4 — Confirmation and deposit. When the program is agreed, a deposit confirms the dates and begins the booking process. Physis locks lodges, guides, and transportation.
Step 5 — Pre-departure briefing. Before departure, Andy conducts a briefing call with you — and optionally with your group — covering field logistics, what to expect each day, gear recommendations, and any last adjustments.
Step 6 — In-field execution. Physis operates the program from day one to the final transfer. You are never managing logistics. You are present as the leader your photographers came to travel with.
